Attendees:
President Stephen Phillips being absent, 2nd Vice President Tom Kashatus called the meeting to order on the above date and time. He then proceeded to follow the order of business.
Secretary Palmira Miller read the minutes from the previous meeting of March 24, 2009. Bill made a motion to accept the minutes as read, and Carol seconded the motion, with all members present voting in the affirmative.
Treasurer Steve Masakowski read and presented the treasurers report. 1. The organization has a total of $13,166.92 in all Community Organization funds. It has $9817.74 in the General Fund, $1500 in the checking reserve, $406.51 in the summer program reserve, $1300 in the insurance reserve, $42.67 in the illegal dump site reserve, $0. in the fundraising reserve, and $100 in petty cash. 2. The Community Organization’s income to date for 2009 is $3443.63. Total expenses to date for 2009 are $4582.25. Carolyn made a motion to accept the treasurer’s report as presented and placed on file. Heidi seconded the motion, with all members present voting in the affirmative.
Bills and Correspondence: There were a number of bills and requests for reimbursements for money spent: 1. A bill for $540 from Corbett Insurance of Shavertown for renewal of Community Organization liability insurance with the Erie Insurance Company. 2. A bill for $744 from Corbett Insurance for renewal of Community Organization directors and officers liability insurance with the United States Liability Insurance Group. 3. A request for reimbursement for $250 by Tom Kashatus for his donation on behalf of the Organization of $350 to sponsor a girls’ softball team in the Babe Ruth League. 4. A request for reimbursement for $62.33 by Tom for illegal dumpsite cleanup expenses. 5. A request for reimbursement for $11.25 by Tom for the cost of documents requested from Newport Township. There were motions to pay these bills and reimbursements: 1. Bill made a motion to pay the bill for Community Organization liability insurance. Frank seconded the motion. 2. Carolyn made a motion to pay the bill for directors and officer’s liability insurance. Bill seconded the motion. 3. Heidi made a motion to reimburse Tom for sponsorship of the girls’ softball team. Carolyn seconded the motion. 4. Bill made a motion to reimburse Tom for illegal dumpsite and document expenses. Frank seconded the motion. All these motions were approved by unanimous votes of members present.
There was no 1st Vice President’s Report.
The 2nd Vice President, Tom Kashatus reports: 1. The May 12 Community Organization work session will be held in Sheatown at the Guardian Care Center boardroom at 6:30 pm. 2. I will remind people who were members of the Community Organization last year that they must pay this year’s membership dues to remain members in order to vote and the ability to make motions. 3. T. J. Higgs said that there is a need for money for children whose families cannot afford the cost of their playing Little League baseball, but that money has already been donated for this purpose. Carolyn made a motion to renew the Community Organization sign at the Little League field at a cost of $50. Melissa seconded the motion, with all members present voting in the affirmative.
Heidi made a motion to accept Katherine and Anish Patel as members of the Community Organization. Paul seconded the motion, with all members present voting in the affirmative.
Steve presented a revised version of the Community Organization budget for 2009. Paul made a motion to accept the revised budget. Carol seconded the motion, with all members present voting in the affirmative.
Publicity Chairman, Bill Hourigan reports: I have asked Gene Skordinski and Francis to get ads for the newsletter.
Committee Reports:
The Great American Cleanup of Pennsylvania, Palmira reports: 1. We received $100 in donations or gift certificates for food to be used during cleanups. 2. We have so far spent $157.73 on food for cleanups. 3. Waste Reduction and J. P.Mascaro each donated a dumpster for our Big Junk Drop-Off. 4. We needed a third dumpster. J. P. Mascara immediately supplied one, but at a cost of a $150 transport fee. 5. This is the fifth year we have been doing cleanups in the Township. 6. This is the fifth year that the Fathers’ Initiative Program, J. P. Mascaro, and Waste Reduction have helped us with our cleanups. 7. County prisoners will be helping with our cleanup from Monday through Thursday of this week. 8. I will ask for their help on Friday also. 9. I thank everyone who helped with the Great American Cleanup Events. Frank made a motion to spend up to $225 on food for our cleanups. Bill seconded the motion, with all members present voting in the affirmative.
Bill made a motion to pay J. P. Mascaro the $150 transport fee. Paul seconded the motion, with all members present voting in the affirmative. Tom stated that Mascaro should have donated the 2nd dumpster because of our savings to them for labor at the curb.
Bill made a motion to present certificates recognizing five years of participation in our cleanups to the Fathers’ Initiative Program, J. P. Mascaro, and Waste Reduction. Frank seconded the motion, with all members present voting in the affirmative.
Palmira made a motion to give, J. P. Mascaro and Waste Reduction one year of free advertising in our newsletter for donating dumpsters over the past 5 years for our cleanups. Carolyn seconded the motion. The members voted 5 to 3 in favor of this motion.
Palmira said that we will be getting no-dumping signs that display a phone number that citizens can call to report illegal dumping. Pat Bova (courtesy of Melissa) and Bill offered to put up these signs.
Trustee Francis Zaleski reports: 1. I have looked at the financial records for 2008. 2. Steve has done an excellent job of accounting for every penny of money received and spent.
Fund Raising Projects, Heidi and Paul discussed the following: 1. Paul and Heidi are still working on a second DVD of Newport Township photos. 2. We have many photos of Glen Lyon, but few photos of Sheatown and Alden. 3. We are looking for more photos, but hope to have this DVD available for sale by Christmas. 4. We have not heard anything from The Cat’s Meow about their work on designing a miniature of the Glen Lyon breaker. Palmira hopes to receive, by this Thursday, at least some of the 300 copies of the first photo DVD that are being produced.
Summer Fun activities, Melissa discussed the following: 1. She is planning children’s activities on six dates: June 16 and 30, July 8 and 22, and August 5 and 19. 2. On June 16, a pool party at possibly Moon Lake or the swimming pool in Mocanaqua. 3. On August 19, a back to school party at the Rec Park in Wanamie. 4. There will also be a games day, an arts and crafts day, and a day with a presentation on reptiles.
Carolyn said that a United States attorney may be available to speak about local gangs and drugs. Steve Philips will talk to him about his availability.
Heidi made a motion to adjourn the meeting. Frank seconded the motion, with all voting in favor.
