President Stephen Phillips, called the meeting to order on the above date and time.  He then proceeded to follow the order of business.

 

Secretary Palmira Miller being absent, Steve Masakowski read the minutes from the previous meeting held September 23, 2008.  Carol moved that the minutes be approved as read and placed on file.  Mary Ann seconded the motion with all members present voting in the affirmative.

 

Treasurer Steve Masakowski read and presented the treasurers report.

1.        The organization has a total of 11,385.24 in all Community Organization funds. It has $8475.84 in the General Fund, $1500 in checking reserve, $406.51 in summer program reserve, $902.89 in the fundraising reserve, and $100 in petty cash.

2.        The Organization’s Fall Festival had gross receipts of $3,761.75.  Ticket sales accounted for $2,566.75 of this amount, the largest contribution.  The Chinese Auction accounted for $382.25, the second largest contribution.

Mary Margaret made a motion to accept the treasurer’s report as presented and placed on file.  Joan seconded the motion with all members present voting in the affirmative.

 

Bills or Correspondence.

Bill gave the Organization a bill for $530.96 from Creative Printing for printing the newsletter.  There were 8 other smaller bills for costs involved with the Fall Festival.

 

There was no 1st Vice President’s Report.

 

The 2nd Vice President, Tom Kashatus reports:

1.        I attended a businessmen’s meeting in Shickshinny.  The mayor Beverly Moore is interested in getting community improvement grant money and may want to cooperate with Newport Township in community improvement efforts.

2.        Bob Hughes, of the Eastern Pennsylvania Coalition for Abandoned Mine Reclamation (EPCAMR), has sent a letter to the Harrisburg office of his organization saying that he recommends the Community Organization as a possible partner in improving the Newport Creek Watershed.  He has asked the office to send us a report about the Watershed.

 

Publicity Chairman, Bill Hourigan reports:

1.        We printed and distributed the fall newsletters.

2.        I offered the Township Commissioners a page in our winter newsletter to publish their upcoming report on their community improvement plan.

3.        I would like to add another sheet of paper to the newsletter at a cost of $130.

4.        Since members have reported a need for more newsletters, I will get a price on printing a larger number.

 

Fall Festival, Carolyn reports:

1.        Many people worked hard at the Fall Festival.  I thank them for your work.

2.        I ask everyone in charge of a work area to give me a list of people who worked with you.

3.        Dan Kowalski liked our children’s events.  He would like to copy them for a fundraiser that he works for.

The group discussed possible improvements we could make in Fall Festival activities.

 

Committee Reports:

Recreation Chairman Murph reports:

1.        I am thinking of having a Winter Fun activity for children during Christmas vacation.  I have activities for snow and for ice.

2.        I will ask the Commissioners for permission to use the Rec Park.

3.        A children’s recreation group in Honey Pot has asked me for information about how we do our Summer Fun program.

4.        I will talk about our Summer Fun program at a Nanticoke Senior Citizens meeting.

5.        I would like to put together a Power Point presentation to help in speaking to groups about our Community Organization activities and our Summer Fun activities.

6.        The Newport Township veterans groups have shown little interest in our plans to have a dinner honoring veterans on Veterans Day.

Heidi presented and members discussed the following fund raising projects:

1.        All Community Organization calendars for 2009 have been sold out, and more people are interested in getting them.

2.        From our second order of High School miniatures, I have only 17 left.  There is a great deal of interest in it.  In several weeks, I may ask you to approve a third order.

3.        The DVD’s are still in production.  I have about 70 orders.

Tom made a motion that we print 75 more calendars.  Paul seconded the motion, with all present voting in the affirmative.

 

No Trustee Report

Unfinished Business

1.        Steve asked us to set times this weekend when our two road cleaning groups will get together to clean up our adopted road Kirmar Parkway.

2.        Steve mentioned that we still have lottery matching tickets for sale for the October 31 Pennsylvania Lottery.

3.        John suggested that we continue to try to establish a working relationship with the Township Commissioners by talking informally with Mike Roke and Paul Czapracki.  He also suggested that we discuss the nature of the complex relationship we have with the Commissioners.

4.        Carol suggested that we have an informal discussion over dinner with the Commissioners.

5.        Tom thanked Paul and Heidi for all the work that they have done, especially at the All Newport Reunion, in selling Community Organization fundraising items.

 

Carolyn made a motion to adjourn the meeting; Joan seconded the motion, with all voting in favor.

 

Meeting adjourned at 8:40 pm.
